Privacy Policy

The short version: We collect only what we need to run the Service. We do not sell your data. We do not share it with anyone except the payment processors (Stripe, Paystack) that handle your transactions. You can request deletion of your data at any time.

1. Who we are

AccessDocs is an invoicing and business document platform for small businesses, operated from the United Kingdom. Contact: support@accessdocs.net.

2. What data we collect

When you create an account:

Name (username), email address, and country.
Your chosen password (stored as a hashed value — we never see your plain password).

When you use the Service:

Business information you enter: company name, address, phone, logo.
Invoice data: client names, service descriptions, amounts.
Payment method preferences (Mobile Money network, bank details for bank-transfer invoices).
IP address (used only to detect your country for localised pricing — not stored long-term).

Automatically collected:

Server logs (standard web server access logs — IP, browser type, pages accessed). Retained for up to 30 days for security purposes.
Session cookies (essential for keeping you logged in — no tracking cookies).

3. How we use your data

To provide and operate the Service (create invoices, send emails, process payments).
To send you transactional emails: welcome, password reset, invoice receipts, payment notifications.
To send you occasional product updates (you can unsubscribe at any time).
To detect your country for localised pricing and payment options.
To investigate fraud or abuse if reported.

4. Who we share data with

We share data only with the following third parties, strictly for the purpose of operating the Service:

Stripe (stripe.com) — payment processing for UK/global users. Subject to Stripe's own privacy policy.
Paystack (paystack.com) — payment processing for users in Ghana, Nigeria, Kenya, South Africa, and Côte d'Ivoire.
SendGrid / Twilio — transactional email delivery.
Replit — cloud hosting and database infrastructure.

We do not sell your data. We do not use your data for advertising. We do not share your data with anyone else.

5. Your client data

When you create invoices, you enter information about your clients (names, email addresses, amounts owed). This data belongs to you. We store it on your behalf to provide the Service. We do not contact your clients independently, use their data for any purpose other than delivering the invoices you send, or share their data with any third party.

6. Data retention

We retain your account data for as long as your account is active. If you delete your account, we delete your data within 30 days, except where we are required to retain it for legal or regulatory reasons (such as payment records).

7. Your rights (UK GDPR / NDPR / POPIA)

Depending on your location, you may have the following rights:

Access: Request a copy of the data we hold about you.
Correction: Ask us to correct inaccurate data.
Deletion: Request deletion of your account and all associated data.
Portability: Request your data in a machine-readable format.
Objection: Object to how we use your data.

To exercise any of these rights, email support@accessdocs.net. We will respond within 30 days.

8. Cookies

We use only one cookie: a session cookie that keeps you logged in. This cookie is strictly necessary for the Service to function. We do not use any tracking, advertising, or analytics cookies.

9. Security

We take reasonable technical measures to protect your data, including encrypted database connections, hashed passwords, and encrypted storage of any payment credentials. However, no system is completely secure. We encourage you to use a strong, unique password for your account.

10. Children

AccessDocs is not directed at children under 18. We do not knowingly collect data from anyone under 18. If you believe we have done so in error, please contact us and we will delete the data promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The date at the top of this page reflects the most recent revision.
